For a significant number of your friends and family members, showing up for your nuptial celebration and/or wedding day may mean hopping on a plane and heading overseas. These out of guests will go to a lot of effort and expense to share in your momentous occasion, and it will be your job to welcome them, help them get around, and keep them entertained. With that in mind, here is how we will help you make all arrangements and everyone’s trip (especially yours) hassle free.

Essential Details

One of the simplest, yet probably most useful, things we do for you and your guests is to provide a wedding itinerary. We will assist in assembling the list per your requirements and then coordinating the events. After sending out your invitations, mail guests an additional clever, elegant, or interesting communique with a complete rundown of the events leading up to and following your walk down the aisle. In addition, we can also help create a wedding web page for an easily referenced one-stop-shop for guests to check up on everything you have planned and submit their reservation. In both cases, your itinerary will include key times, locations, who is hosting, what to wear, and so on for each activity.

Tell your visitors about any free time they’ll have, and provide suggestions for how to fill it. There may be events you have in mind (such as a brunch the morning after the wedding) that travelers should know about in advance so they can schedule their trips around them.

Be aware that since many of your guests are taking to the skies, they may be turning your nuptial event into a weekend getaway or part of a vacation. Also, remember that some of your guests or even yourselves may never have visited Thailand before. We will be sure to put important details for airlines and hotels (website and street addresses, phone numbers, directions, and cost information) on an insert sent out with your invitations, and/or post it separately on your wedding itinerary or web page so guests can book their flights and rooms early and know how to get around once they arrive.

We will be able to recommend different places for your guests to stay. These hotels and resorts will be located near your ceremony and reception sites. It is best to book six months beforehand to reserve a large-scale availability for the days surrounding your wedding, and to receive special group rates. To get the best deal for your guests, we can reserve blocks of rooms at a couple of hotels. Your guests will have accurate budget ranges to help keep expenses under control and manageable. Everyone’s needs that meet their budget will be available; from those who fancy luxury to those who like to live with simple comforts. Regarding airfare, by contact the airlines directly you will most likely be able to get the best rate, but we can help hunt down the best rates online and available directly. Good things to keep in mind is frequent-flyer deals, special discounts, and group rates for those who may all be flying in from the same place.

Getting Around

Some out-of-towners will choose to rent cars, but this is not necessary or recommended for travelers to Thailand. Thai roads can be a daunting experience and very stressful. Having a personal chauffeur driver is very affordable, and will ensure guests arrive at their necessary locations with no trouble and on time. From airport pick-up to night out on the towns, traffic and driving will not be a worry.

Everyone will be met and greeted at the airport with Thai hospitality and a warm smile. It is a good idea for family members to also be present to help assuage nervousness, however our guides will be sure to make each guest and family member feel at ease. A sign with their name on it will notify them where to go and who to meet. Loaner mobile phones with everyone’s phone number and important places (hotel, driver, hospital, information, etc.) is also available. A roster of arrival times will also be available to you and your website so guests can know everyone’s arrival and departure times.

Surprise Treats

Jet-lagged and travel-weary guests will be pampered and treated at every steps. Surprises and treats will be made available to help relieve the stresses of travel while also offering them a warm welcome. Hotels and accommodations will be ready and fitted with any special needs. Each guests arrival will be individually pampered. Local drinks, foods, and decor will be made available including the famous Thai massage at a spa. Massages will be available at one of the many spas or even at their hotel. The purpose is to let guests know you appreciate their effort to join you for your special day.

Welcome packets with relevant information (phone numbers of the families of the bride and groom, the names of the other guests staying at the hotel, nearby hot spots to check out) to leave in guests’ rooms with another copy of your wedding itinerary, plus local brochures, coupons and sightseeing maps. Enlist the aid of our wedding crew to assemble and distribute all these treats. Finally, add that finishing touch and pen a personal note thanking each guest for coming to celebrate with you.

Evening Entertainment

Leading up to the main event, you may have plenty to fuss over, but your attending guests may not. Don’t leave them in the lurch with nothing to do. If many guests are showing up the night before the ceremony, we suggest they gather at at cultural dance show or a dinner cruise on the river. Another great idea is to have everyone gather a one of Bangkok’s local pubs or international restaurants for a casual dinner. For guests who rather entertain themselves, drivers will be standing by to drive them where ever they would like to go, and we can help supply ideas.

Time In-Between

Though recommended, sometimes it’s not possible to have your reception immediately follow your ceremony. If there will be a lengthy break between your “I dos” and the party, or your ceremony is late in the day, we can help fill that time-in-between and have it run smoothly. During a lull, some people won’t mind going back to the hotel and kicking back to unwind. While others may be interested in touring the local area or indulging in a massage on the beach.

If guests will have the morning free, men can catch a game of golf on one of Thailand’s luxurious golf course while woman head to the malls for some shopping. With lots of spare time between the main events, we could also organize an group excursion, such as visiting a nearby attractions or going to see a movie.

Quality Time

Remember the reason that these intrepid travelers have come is to see you, so make sure they do. Pull them aside amid all the revelry for some one-on-one attention, or make it a point to tell them at the receiving line how much seeing them means to you. Raise your glass during toasting time to acknowledge those who have come from afar, and consider setting up something special for journeyers, such as a brunch the morning after the ceremony (if you aren’t already off to a magnificent honeymoon).
